This policy covers visibleowl.com and every service Visible Owl LLC provides. We are a small marketing agency in Round Rock, Texas. We are not in the business of selling data, and we do not sell yours.
If you only want the short version: we collect what you type into our forms, basic technical information your browser sends, and, if you allow it, analytics about how you use the site. We use it to answer you, to do the work you hired us for, and to make the site better. You can ask us to delete it at any time.
Who we are
Visible Owl LLC (“Visible Owl”, “we”, “us”) is a Texas limited liability company based in Round Rock, Texas. We are the controller of the personal information described here, which means we decide what is collected and why.
Contact: hello@visibleowl.com or (512) 553-9675. Postal mail reaches us at Visible Owl LLC, Round Rock, TX 78665.
What we collect
We collect three kinds of information, and you can see exactly where each one comes from.
| What | Examples | Where it comes from |
|---|---|---|
| Information you give us | Name, business name, email, phone number, website address, the message you type, the answers you pick in our free tools, and anything you choose to send us by email, text or phone | Forms on this site, our chat assistant, email, phone calls and text messages |
| Booking information | Your name, email and the time you pick for a call | Google Calendar appointment scheduling, embedded on our pages |
| Technical information | IP address, browser and device type, operating system, the pages you view, how you arrived, and how long you stay | Your browser, our host’s server logs, and our analytics tools if you allow them |
| Client account information | Business details, billing contact, login access you grant us to your own Google, website or advertising accounts, and the performance data those accounts produce | You, once you become a client |
We do not ask for and do not want sensitive information: no Social Security numbers, no government ID numbers, no health information, no precise location, no biometric data. Please do not send any of that to us. We do not knowingly collect payment card numbers through this website; invoices are handled by our billing provider, which takes payment details directly.
Why we use it
We use personal information for these purposes and nothing else:
- To answer you. When you submit a form, book a call or start a chat, we use your contact details to reply by email, phone or text.
- To do the work. If you hire us, we use your business information and the access you grant us to run the marketing services you bought, and to report on them.
- To improve the site. With your consent, we use analytics and session recordings to see which pages work and which ones confuse people.
- To market our own services. We may send you occasional email about what we do. Every message has an unsubscribe link, and one click is enough.
- To keep things safe and working. Server logs, spam filtering and the hidden honeypot field on our forms exist to stop abuse.
- To meet legal obligations. Tax records, contracts and anything we are required to keep or required to produce.
Calls, texts and email
When you give us your phone number through a form, our chat assistant or a booking, you agree that we may call you and send you text messages about your request. This is not a condition of buying anything from us.
Message frequency varies. Message and data rates may apply. Reply STOP to any text to stop receiving them, and HELP for help. We do not share your phone number with anyone for their own marketing, and we do not sell it.
Marketing email is separate: unsubscribe from any message and we stop. We will still email you about work in progress if you are an active client, because that is service communication, not marketing.
Cookies, analytics and session recording
This site uses a small number of cookies and similar technologies. Nothing that is not strictly necessary runs until you accept it in the banner shown on your first visit.
Google Analytics 4 tells us how many people visit and which pages they read. Microsoft Clarity records how pages are used, including mouse movement, clicks and scrolling, and can replay a session. We have Clarity set to mask text and form fields, so what you type is not captured, and we do not use these tools to identify you personally.
Our full Cookie Notice lists every cookie, what it is for, how long it lasts and how to change your mind. You can withdraw consent at any time from the link at the bottom of any page.
Who else sees your information
We share personal information only with the service providers that help us run the business, and only so they can do that job. Each one is bound by its own agreement with us.
| Provider | What it handles | Why |
|---|---|---|
| Google (Workspace, Apps Script, Sheets) | Form submissions, email, documents | Our forms post to a Google Apps Script, which writes your answers into a private Google Sheet we use to follow up |
| Google (Analytics, Calendar, Maps, Preferred Sources) | Usage analytics, bookings, embedded maps | Site measurement and the booking and map features on our pages |
| Microsoft (Clarity) | Usage analytics and session replay | Understanding how pages are actually used |
| Hostinger | Web hosting and server logs | Serving this website |
| Advertising and SEO platforms | Client campaign data | Running the work a client hired us to do, in that client’s own accounts |
| Billing and accounting providers | Invoices and payment records | Getting paid and keeping books |
We may also disclose information if the law requires it, to enforce our agreements, to protect someone’s safety, or as part of a merger or sale of the business. If the business ever changes hands, we will say so on this page before your information moves.
We do not sell personal information, and we do not share it for cross-context behavioral advertising as those terms are used in Texas and California law. We have never done so.
How long we keep it
Form and enquiry records: up to three years after our last contact, unless you ask us to delete them sooner. Client records, contracts and invoices: seven years, because tax and contract rules require it. Analytics data: GA4 is set to retain event data for 14 months, and Clarity keeps recordings for up to 30 days. Server logs roll off on our host’s schedule, usually within 30 days.
Your rights
Wherever you live, you can ask us to show you what we hold, correct it, or delete it. Email hello@visibleowl.com and we will answer within 45 days, and usually within a few days. We may need to confirm who you are before we act, and we will never charge you for a reasonable request or treat you worse for making one.
If you live in Texas, the Texas Data Privacy and Security Act gives you the right to confirm whether we process your data, to access and get a copy of it, to correct it, to delete it, and to opt out of sale or targeted advertising. We do not sell data or run targeted advertising with it. If we refuse a request, you may appeal by replying to our decision, and if the appeal is denied you may complain to the Texas Attorney General.
If you live in California, you have the same rights under the CCPA as amended, plus the right to know the categories above, the right to limit the use of sensitive information (we do not collect any), and the right not to be discriminated against for exercising them. You may use an authorized agent.
If you are in the EU, the UK or another region with similar law, you also have the right to object to processing, to restrict it, to data portability, and to withdraw consent at any time without affecting what came before. Our legal bases are: your consent for analytics and marketing email, contract performance for client work, and our legitimate interest in replying to enquiries and keeping the site secure. You may complain to your local supervisory authority.
Our systems are hosted in the United States. If you contact us from outside the US, your information will be processed there.
How we protect it
The site is served over HTTPS. Access to the sheet that holds form submissions is limited to the people who need it, and those accounts use two-factor authentication. We keep the amount of data we hold deliberately small, which is the best protection there is.
No system is perfect, and we cannot promise that a determined attacker will never get in. If a breach affects your personal information, we will tell you and any regulator that must be told, as quickly as the law requires.
Children
This site is for business owners. It is not directed at children, and we do not knowingly collect information from anyone under 16. If you believe a child has sent us information, email us and we will delete it.
Links and embedded content
Our pages link to other websites and embed content from Google, including maps, the appointment booking window and the Preferred Sources button. Once you interact with those, you are on Google’s terms and Google’s privacy policy, not ours. We have no control over what they collect. The same goes for client websites we link to from our results and industry pages.
Changes to this policy
We update this page when what we do changes. The date at the top always shows the last update. If a change materially affects how we use information you already gave us, we will say so clearly on the site, and where the law requires it we will ask for your consent again.
